How to Give Your Team the Right Access in Dances

When you manage one or two properties, doing everything yourself is fine. You schedule the cleanings, review the verifications, update the checklists, and manage your cleaners. But as your portfolio grows, whether you bring on a co-host, a cleaning supervisor, or a property manager, you need to share access without handing over full control.

Dances has three access roles designed for exactly this. Each one gives your team members the access they need to do their job, and nothing more. Here is how they work and when to use each one.

Three Roles, One Dashboard

Every person who touches your Dances account falls into one of three roles: Owner, Full Access, or Operations. The Owner is the account holder, the person who set up the property and manages the subscription. Full Access and Operations are the two roles you can assign when inviting team members.

The key difference is simple. Full Access users can change how things are set up: property settings, checklists, cleaner rosters, automation rules. Operations users can only work within the existing setup. They dispatch jobs, review verifications, and manage the day-to-day schedule.

When to Use Operations Access

Operations is your go-to role for people who handle the day-to-day but should not be changing your property setup. Think cleaning supervisors, on-the-ground team leads, or a cleaning company you work with.

An Operations user can open the schedule, see upcoming checkouts, and dispatch verification jobs to cleaners. When a cleaner submits their photos, the Operations user can review the AI results and approve or reject the job. They can see your cleaner roster so they know who is available, but they cannot add, edit, or remove cleaners.

  • A cleaning supervisor who coordinates turnovers across your properties
  • A local contact who manages day-to-day operations while you're remote
  • A cleaning company that dispatches jobs and reviews verifications on your behalf
  • A part-time assistant who handles scheduling but doesn't need access to settings

Operations users see a focused view of the dashboard. They don't see automation settings, iCal feed configuration, or auto-approval rules. This keeps the interface clean and avoids accidental changes to your property setup.

When to Use Full Access

Full Access is for people you trust to manage the property as if it were their own, minus the billing. This is the role for a co-host who manages properties on your behalf, a business partner, or a property manager who needs to set things up and keep them running.

A Full Access user can do everything an Operations user can, plus they can edit rooms and checklists, add or remove cleaners, configure automation rules, set up iCal calendar sync, and invite other team members. The only thing they cannot do is manage your subscription.

  • A business partner who shares operational duties with you
  • A trusted team member who onboards new properties and configures checklists

How to Invite a Team Member

Inviting someone takes about 30 seconds. Open the property you want to share, go to the Team tab, enter their email address, and choose a role: Full Access or Operations. They'll receive an email with a secure invite link.

When they click the link, they sign in (or create an account) and accept the invite. The email address they sign in with must match the one you invited. This prevents invite links from being forwarded to unintended people. Once accepted, they'll see the shared property in their own dashboard immediately.

You can invite multiple people to the same property with different roles. For example, give your co-host Full Access and your cleaning supervisor Operations access on the same property.

What Your Team Actually Sees

Operations users see a streamlined version of the dashboard. Their properties page shows the properties shared with them, the schedule shows upcoming jobs, and they can dispatch and review jobs. They see the cleaner list in read-only mode, so they know who is assigned to what. Settings pages, automation configuration, and iCal feeds are hidden from their view entirely.

Full Access users see essentially the same dashboard as the owner. They can navigate to any tab, edit any setting, and manage the full cleaner roster. The only difference is they don't see billing or subscription management.

Security You Don't Have to Think About

Team access in Dances is designed to be safe by default. Invite links expire after 7 days and can only be used once. The invitee's email is verified against the invite, so they cannot sign in with a different address and accept someone else's invite. You can revoke access at any time from the Team tab, and it takes effect immediately.

Team access is also tied to your subscription. If your subscription lapses, all co-host access is automatically suspended until the subscription is active again. This ensures you're never paying for access you're not using, and your team's access is always tied to an active account.
